What to do on the night

Before you turn up at the venue to welcome your guests you may need to check if the venue has a wireless internet connection. The availability of internet and technology at the venue will dictate what method will work best for confirming and admitting your guests.

To admit your guests using the online Allocation List

Apparatus:

  • Wifi/wired internet connection
  • Desktop computer/laptop/tablet

You're able to use Ticketlab's online interface to admit guests to your event. If you have a device that connect to the internet via a browser, you should be able to log into your Ticketlab account and view all of the ticketed guests as well as any guestlist you may have set up.

Method:

  1. From the homepage, simply log in using the details you used to register your event.
  2. Click "Allocation List" and wait for your guests to arrive.
  3. As each guest presents their e-ticket, you can admit them by:
    1. Entering their reference code into the box on the right and click "redeem"
    2. Clicking the check box next to their name and clicking the "update" button (at the top or bottom of the page)

N.B. It is your responsibility to confirm the identity of the ticket holder as that attributed to the ticket on the Allocation List, and that the reference code matches. In this way you can minimise the possibility of multiple tickets being printed or forged. All disputes that may arise or occur at the event must be resolved by you, the event promoter.

To admit your guests using QR codes

Apparatus:

  • Wifi/3G+ Internet connection
  • Tablet/smartphone
  • QR reader app

You're able to use Ticketlab's online interface to admit guests to your event. If you have a device that connect to the internet via a browser, you should be able to log into your Ticketlab account and view all of the ticketed guests as well as any guestlist you may have set up. We advise installing a QR code reader as discussed here prior to the event.

Method:

  1. In the device's default browser, simply log in to Ticketlab.co.uk using the details you used to register your event.
  2. Open your QR code reader
  3. As each guest presents their e-ticket scan their ticket's QR code and open the resultant link in your browser.
  4. The open page should show the guest's name and address - you can now admit them.

N.B. It is your responsibility to confirm the identity of the ticket holder as that attributed to the ticket on the Allocation List, and that the reference code matches. In this way you can minimise the possibility of multiple tickets being printed or forged. All disputes that may arise or occur at the event must be resolved by you, the event promoter.

To admit your guests without internet connectivity

Apparatus:

  • No Wifi/internet connectivity
  • Printer

If you know you won't be able to access a computer and/or an internet connection at the venue, you can still print out the admission and guest lists.

Method:

  1. Prior to the event, log into Ticketlab and navigate to the Allocation List for the event in question.
  2. With the admission list open, click File -> Print... in your browser, or press Ctrl + P.
  3. Print out the list.
  4. At the event, you can check off attendees as they arrive by checking their reference codes and the name on their ticket.

For bonus points, retain your print out after the event and check off those who attended and whose who didn't on the Allocation List - this will enable you to create custom mailing lists based on attendance, so you can ask if people enjoyed themselves or why they didn't turn up.
